As a Banqueting sales executive at our stunning boutique hotel in the heart of Amsterdam, you’ll be part of a team that brings elegance, energy, and exceptional service to every event – from stylish weddings to high-end corporate meetings.
What does the job entail?
As a Banqueting Employee, you are the face of the events at the The College Hotel. You are versatile and involved in everything related to banqueting. You ensure that the rooms are well arranged according to the guest's wishes and that the event runs smoothly. You are also the point of contact for the guest during the event. Events can include: drinks, weddings, baby showers, birthdays, as well as corporate meetings. Do you keep a cool head and know how to make everything run smoothly and put the guest first? Reactive Sales:
Promptly and professionally manage incoming meeting, event, and group inquiries via phone, email, and online channels
Prepare tailored proposals and quotes that align with client needs
Follow up actively on leads to convert requests into confirmed bookings
Schedule and conduct appointments and site visits with potential clients, ensuring a warm welcome and a strong first impression of The College Hotel
Convert inquiries into confirmed bookings, maximizing revenue opportunities across meeting space, F&B, and rooms
Collaborate with the Proactive Sales Team to maintain relationships with local corporate clients, event planners and DMC’s
Event Planning & Coordination:
Serve as the main point of contact for clients from the initial request up to the handover to the operational team on the day of the event
Plan and coordinate all event-related details including setup details, catering, AV requirements, guestroom blocks, and any special requests
Conduct site inspections and host pre-event meetings to ensure client expectations are clearly defined and aligned
Prepare detailed function sheets (BEOs) and coordinate internally with departments such as kitchen, F&B, housekeeping, and front office
Ensure all event elements are clearly prepared and communicated to enable flawless execution by the operational team
On the day of the event, be present to welcome the client contact on arrival, ensure a smooth handover to the operational team, and serve as a liaison if needed
Maintain a visible but non-operational presence for larger or high-profile events to oversee key moments and support internal teams from a planning perspective
Anticipate potential challenges and respond to last-minute requests with confidence and flexibility
Administrative & Reporting:
Maintain accurate and up-to-date records in the booking and CRM systems (Opera, Pipedrive)
Follow up daily on checklists to ensure accuracy
Ensure contracts, deposits, and payments are processed on time and in line with policy
Participate in weekly sheet meetings to align the operational team on upcoming events and bookings in detail
Although reporting directly to the Director of Sales (and part of the Sales Team), this role is based on-site at the hotel to ensure close coordination with both the sales and operational departments
Desired Skills & Competencies:
Strong interpersonal and communication skills, both verbal and written (preferably in Dutch and English)
A proactive, service-oriented mindset with attention to detail
Ability to multitask and stay organized in a dynamic environment
Sales-driven, with a feeling for negotiation and relationship-building
Hands-on, flexible, and solution-oriented – always ready to go the extra mile
