General
As an Executive Assistant, a.k.a. The Choreographer, you are the right hand of the General Manager at Jaz in the City. You always have a pulse on what’s happening in the hotel, ensuring that tasks assigned by the management team are executed seamlessly.
You are well-versed in the concept and communication style of Jaz in the City and embody the company’s mission. You know how to inspire enthusiasm for the brand, making you an essential part of the hotel’s rhythm.
The Choreographer of Jaz Amsterdam reports directly to the General Manager—a.k.a. The Band Leader of Jaz Amsterdam.
Job Duties
Serve as the main point of contact for guests, clients, and colleagues reaching out to the General Manager;
Manage and oversee the management team’s agenda, proactively identifying and addressing priorities;
Prepare, coordinate, and follow up on meetings, including collecting agenda items, distributing documents, taking minutes, drafting reports, and monitoring action lists;
Track and support projects, ensuring agreed actions are followed up, results are monitored, and contributions are received from relevant stakeholders;
Organize, process, and structure information flows, including telephone calls, emails, and correspondence;
Draft and prepare reports, notes, and correspondence in line with the Jaz in the City communication style and corporate identity;
Plan and coordinate internal and external meetings, arranging necessary facilities, documents, and presentations;
Lead and organize tours for students, schools, and other interested non-commercial parties;
Coordinate and guide the onboarding process for new employees and trainees, in collaboration with the recruiter or department heads;
Manage the offboarding process for employees and trainees;
Oversee ISO 14001 & 50001 audit programs and ensure the hotel’s social participation initiatives are properly executed.
Skills & Attributes
As a Choreographer at Jaz in the City, you are a true multitasker with a positive and enthusiastic attitude. You remain calm under pressure and excel at organizing and providing administrative support to others. You are an ambassador of Jaz in the City, familiar with the concept and communication style, and you act accordingly, radiating the right energy.
Additionally, you possess:
Excellent service and communication skills (both verbal and written in Dutch and English, at a professional and basic level);
Strong judgment skills, attention to detail, and a reliable, conscientious, and trustworthy work ethic;
Experience in the hospitality industry, preferably in Front Office or F&B operations;
Good knowledge of administrative software (word processing, spreadsheets, and presentation programs);
A hospitality-related education (preferred).
You have a passion for hospitality and thrive in a dynamic environment where you can adapt quickly and maintain an overview at all times.
Other Responsibilities
Report efficiently and effectively to department heads and management about the status of actions;
Ensure quality of information by controlling correctness, completeness, and timeliness, following corporate identity guidelines;
Manage (digital) archives, safeguarding accessibility and retrievability of information;
Build strong relationships and liaise with all other departments;
Perform other duties as assigned, requested, or deemed necessary by management.
