The Reservation Agent at Aparthotel Adagio is responsible for managing guest reservations in a professional, efficient, and courteous manner. This role involves handling reservation inquiries, processing bookings, and ensuring guests receive exceptional service from the moment they contact the aparthotel until they check out. The ideal candidate will possess excellent communication skills, a keen eye for detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Reservation Management:

    • Answer incoming reservation inquiries via phone, email, and online booking platforms.
    • Process bookings, modifications, and cancellations accurately in the hotel reservation system (Opera Cloud)
    • Maintain an organized reservation log and update availability regularly.
    • Ensure all guest preferences and special requests are noted and communicated to relevant departments.
  • Customer Service:

    • Provide exceptional customer service by addressing guest questions, concerns, and special requests promptly.
    • Offer detailed information about the aparthotel's amenities, services, and local attractions.
    • Upsell and cross-sell additional services, packages, and upgrades to enhance the guest experience.
    • Handle complaints or issues related to reservations in a professional and efficient manner.
  • Communication & Coordination:

    • Liaise with the front office, housekeeping, and other departments to ensure seamless guest experiences.
    • Communicate any last-minute changes or special requirements to the appropriate teams.
    • Prepare and send out reservation confirmations and pre-arrival information.
  • Data Entry & Reporting:

    • Accurately input and update reservation data in the hotel management system.
    • Generate reports on booking statistics, occupancy rates, and revenue as required by management.
    • Monitor online reviews and feedback, and relay important information to management.

 

Qualifications:

  • High school diploma or equivalent; a degree in hospitality management or related field is a plus.
  • Proven experience as a reservation agent or in a similar role within the hospitality industry.
  • Proficiency in hotel PMS and Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.

  • Detail-oriented with strong problem-solving skills.
  • Ability to handle stressful situations calmly and effectively.
  • Team player with a collaborative approach to work.
  • Fluent in English; additional languages are an advantage.
